Small Meeting Space Guidelines 

The Transylvania County Library offers two small meeting spaces for individual and group use: the College Walk Study Room and the Connestee Conference Room. Both rooms are available for use free of charge, subject to the guidelines below.

Reservations

  • Reservations may be made up to 60 days in advance and no less than 30 minutes before the start time.
  • Reservations are automatically approved when availability and reservation limits are met. However, library staff may cancel a reservation if room-use guidelines are not followed.
  • Rooms are frequently reserved back-to-back and may not be available before or after your reservation time. Please include any time needed for setup, cleanup, or wrapping up your meeting when making your reservation.
  • When not reserved, small meeting rooms may be available on a first-come, first-served basis.

Reservation Limits

Each person may reserve each room up to five times within a 30-day span.

When you request a reservation, the system checks your reservations for that room occurring approximately 15 days before and 15 days after the requested date. If five reservations already exist within that time frame, an additional reservation cannot be made.

Room Features

College Walk Study Room 

Available: Monday – Saturday during regular library hours

Maximum reservation length: 2 hours
Capacity: 6 people

Features

  • Located on the first floor across from the Kids and Teens Desk.
  • Large table with seating for up to six people.
  • Whiteboard (markers and eraser available upon request).
  • Two electrical outlets.

Sound & Privacy: The room has glass walls and an open ceiling. Privacy is limited, and conversations may be overheard. Keep voices low and use headphones when listening to audio.

Connestee Conference Room

Available: Monday – Friday during regular library hours

Maximum reservation length: 4 hours
Capacity: 12 people

Features

  • Located on the second floor near the elevator and stairwell.
  • Large table with seating for up to twelve people.
  • Small side table for materials.
  • Large whiteboard (markers available upon request).
  • Touchscreen television, computer, and OWL video conferencing equipment.

Technology: Use of the television, computer, or OWL video conferencing equipment must be requested in advance.

Small Room Use Expectations

To ensure that these spaces remain available and welcoming for everyone, users are expected to:

  • Arrive promptly and contact the library if you are running late or need to adjust your reservation. Rooms that remain unclaimed for more than 15 minutes may be made available to others.
  • Leave the room clean and in the same condition and arrangement in which it was found.
  • Keep noise at a reasonable level and avoid activities that may disturb normal library operations.
  • Keep all activities within the reserved room. Reservations do not include surrounding areas of the library.

Please note:

  • Decorations, signs, and banners may not be attached to walls or other surfaces.
  • Materials may not be stored at the library before or after your reservation.
  • The library is not responsible for loss of or damage to personal property.

Reservation Conditions

The library welcomes a wide variety of educational, cultural, civic, and community activities. Permission to use the a small meeting room does not imply endorsement by the Transylvania County Library or Transylvania County Government.

All Library and County policies, including the Library Code of Conduct and Safe Child Policy, apply while using these spaces. Prohibited activities include, but are not limited to:

  • Excessive noise or mess.
  • Soliciting, canvassing, proselytizing, or selling goods or services.
  • Activities that disrupt library operations or interfere with others’ ability to use the library.

The library may limit the frequency or duration of reservations to ensure equitable access for community organizations.

All Library policies, Transylvania County policies, and applicable laws apply to room use. Reservations may be canceled if policies or laws are violated or if a user does not adhere to these reservation guidelines.
